Understand the numbers

Expected no-shows = scheduled appointments × no-show rate / 100. Missed gross revenue = expected no-shows × average collected value per attended appointment.

Worked example

Fictional example: 400 scheduled appointments, a 10% no-show rate and $80 per attended appointment produce 40 expected missed visits and $3,200 of missed gross revenue. Holding volume and value constant, 6% produces 24 missed visits and $1,920. The $1,280 difference is potential gross revenue, not guaranteed recovery or profit.

Try a different scenario

Use the same reporting period and definition of a no-show for both scenarios. Separate timely cancellations and rescheduled visits before calculating your rate. Save a baseline, test a realistic target rate, and then compare with your actual collected revenue after a full period. A reminder initiative may have costs even if the no-show rate does not improve.

What this estimate leaves out

The result excludes cancellation fees, replacement bookings, service costs, refunds and the cost of reminders. Fractional expected visits are retained, because this is a rate-based estimate rather than a count of actual patients. Do not enter patient names, health information or appointment records.
